Travel and show day
Itinerary
Also called Travel itinerary, travel plan
The itinerary is the artist’s whole trip for a show or a run, in order: every flight, train, pickup and hotel, with local times, booking references and contacts.
A day sheet covers one day. The itinerary covers the trip, from leaving home to getting back, across as many days and cities as it takes. For a single club show that’s often two days. On a weekend with several cities, it’s the document that holds the run together.
Example
A weekend for [Artist A], who lives in London:
| Day | What |
|---|---|
| Fri | Flight London → Munich, pickup, hotel in Munich |
| Sat | Set in Munich 01:00–03:00, late checkout, train Munich → Vienna (about four hours), hotel in Vienna |
| Sun | Set in Vienna 00:30–02:30, late checkout, flight Vienna → London |
In the full version, every line carries its times in local time, the booking reference, and the name and number of whoever picks up.
What to watch for
- One source. When a train is rebooked, the itinerary changes, and every day sheet built from it changes with it.
- Local times at both ends of every leg, with the zone wherever it differs from the venue’s. London → Munich crosses a time zone; Munich → Vienna doesn’t.
- Booking references and names exactly as on the ticket. At a ticket machine at 06:00, the artist shouldn’t have to search an inbox for them.
- No passport numbers or dates of birth. Itineraries get forwarded to drivers and hotels, and none of them needs those.
